Privacy Policy
A certain amount of personal data is collected by me for every client. This is to enable me to offer and maintain professional and appropriate coaching standards, to meet insurance requirements and income tax requirements.
All information gathered by me is confidential and will not be shared with a third party unless in the event of an emergency, where I may be required to give your assigned emergency contact/next of kin's details for health and safety reasons.
I hold minimal and abbreviated personal information for current clients who attend my courses, workshops and retreats which is stored securely on my fingerprint-protected business computer, of which no one else has access to.
During 1:1 sessions, I take shorthand notes that are titled only with the client’s initials, and this notebook is stored securely within a filing cabinet for a period of time as per the guidelines of my liability insurance provider, Balens Insurance - and then is securely disposed of.
If you wish to alter any of your data, review how it is used or wish to request its return to you, please contact me.
You may, of course, decline to submit personally identifiable information to me, however, I may not be able to provide certain services to you.
Mailing List
When you purchase a service from me you will be invited by email to join my MailChimp email list. If you chose to opt in to my list (you may also do this via this site, my Facebook page or from my email footer), you will receive emails informing you of existing, future or alternative services and any forthcoming changes to services. All newsletters will be sent through an email system called MailChimp (see their Privacy Policy at www.mailchimp.com). You will have the ability to opt out at the bottom of any and all of these communications and may do so at any time.
Phone Numbers/ Emails
If you provide it, I may retain your telephone number and email in the “contacts” section of my phone. This will be for the purposes of contacting you in relation to coordination of sessions and workshops - for example, if a session needed to be rescheduled due to me being unwell. These details will not be used for marketing.
Emergency Contact Information
Your emergency contact information is collected solely for use in an emergency, should I need to contact your next of kin or give this information to the emergency services. In the event of a serious emergency and for the purposes of your immediate safety, I may also need to share relevant additional information with medical or emergency services professionals. This information is gathered upon making payment through my website and stored in its inbuilt database (my website is hosted and managed by Squarespace. Please see their privacy and security policy here: www.squarespace.com). Please inform me if you wish me to update your emergency contact information at any time.
1-1 Clients
When commencing with coaching or therapy with me, I will gather a degree of information in order that we can work as effectively as possible together. I am required to keep notes on 1:1 clients for a period of time after we finish working together for insurance purposes. Ongoing notes will be stored in paper copy in a secure filing cabinet and will be disposed of as per the guidelines of my liability insurance provider, Balens Insurance.
Conversations and any records of these that take place during 1:1 coaching & therapy sessions are absolutely confidential. The only situations in which this confidentiality may need to be broken is:
1. If the client may be an immediate danger to themselves or others
2. If the client is endangering a vulnerable population, such as the case of a child or elder abuse
3. If requested by law
Notifying you of Changes to this Notice
If there is a change to my privacy notice or how I use your data I shall contact you via my regular newsletter and by updating this page here. I reserve the right to determine the form and means of providing notifications to you, and you may have opted out of certain means of notification as described in this Privacy Notice.
